Are there a minimum number of files or boxes I can store?
No! Whether you’re a sole trader with limited storage space or a multi-national business with 1000’s of boxes we are delighted to welcome you as an Oasis customer, whatever your storage volumes. Also, unlike many of our competitors Oasis won’t subject you to a monthly minimum charge either!
Do you store and manage computer back-up tapes?
Yes. Oasis centres are fully equipped with environmentally stable Media Vaults specifically controlled for the long-term storage of digital and film media. Gas fire suppression systems are fitted as standard. For more information visit our Computer Media page.
Do I have to use Oasis boxes?
No! We’re happy to accept your existing boxes providing they are of archive quality and in good condition. Indeed our records centres are full of our competitors boxes because our customers have realised the benefits of transferring their service to Oasis.
Will my documents be secure?
High security is one of the key benefits of using Oasis services. We offer increasing levels of physical security systems which means you can select the most appropriate for your specific needs as follows;
- Open racking protected by our range of on-site security systems
- Bespoke cages – all the benefits above with restricted access to a small number of approved staff
- Vaults – restricted access / gas fire suppression systems / environmental stability
How quickly can I retrieve my documents?
Oasis offers 3 response levels as follows;
- Next day – order before 4.00pm and we’ll deliver to you by 1.00pm the next, working day
- Same day – Express journies for all urgent requests within 3 hours
- Out of Hours – guarantees you 24/7 access to your records
How do I identify my box/file when I want to retrieve it?
The application of a barcode label creates a unique point of reference between you and Oasis and enables full tracking at each stage of a box/file journey to/from your premises. However a great many of our customers prefer to order boxes/files by the internal number already allocated to it. Easy! – we’ll take your existing box numbers and cross-reference to the barcode so you can continue as before.
Our records don’t currently have barcodes – does that matter?
No! Oasis will supply barcodes to you at the beginning of our working relationship for you to apply prior to collection.
What safety measures exist whilst documents are being transported?
We operate our own vehicle fleet so you can be sure that we maintain responsibility for your records at all times. Our vehicles come with remote central-locking and passive alarm systems as standard. We use satellite technology to track vehicles and are in constant contact with our drivers via mobile ‘phone so that any issues arising can be quickly relayed and remedial action taken.
Our offices are on the 15th floor – can we still receive collection and deliveries?
Yes! Oasis can arrange to leave boxes/files with your internal distribution team or can deliver direct to desk in the case of highly sensitive material. We’ll be happy to discuss your specific needs in greater detail.
I have a database of our box and file contents – can I still use it?
Yes! We can populate our database with any additional fields you are currently using. This is ideal if you wish to use our on-line search and sort system to manage your records remotely.
I need to restrict access to my records – how will you manage this?
Firstly we can restrict on-line access to critical/sensitive material through the application of authority levels to individual users. Secondly physical deliveries can be made to named individual only and we can implement a number of manual checks to ensure documents reach the right people at the right time.
What types of business use your service?
Any business that produces paper records has a statutory obligation to maintain records for a period of years relevant to the content. Our customers come from all markets and have a wide range of needs so we need to be highly flexible and adaptable at all times to make sure we become their first choice records management partner.
What regulatory and compliance accreditation does Oasis have?
All our centres are designed and equipped to achieve BS7799 and National Archive requirements. We operate a quality management system to ISO9001:2000 standards Oasis are Corporate members of PRISM International (Professional Records and Information Services Management) the not-for-profit trade association for companies that provide their clients with protection, access, retention, storage and disposal of their vital information.
How much will it cost?
You only pay for the service you use - simple. Our monthly invoice will detail how many boxes you have in storage together with the number of journeys, retrievals, returns, destructions, additions etc. provided in that month. Use the CallBack button to receive your no-obligation quotation today.
I don’t want to pay to store boxes that I no longer have to keep – how will Oasis help me?
Within your unique database we will capture your box/file review date and proactively notify you when documents are due for potential destruction. We never destroy boxes without your specific approval so the final decision always remains with you. Once you’ve approved the destructions we then remove the boxes/files from the centre and transfer to the secure destruction plant on your behalf. A Destruction Certificate is issued at the end of the process for your records.
My records are in a real mess right now – can you help?
Certainly! Oasis have an experienced and dedicated project team who can work within your premises to audit, sort, clean, prepare and pack your documents prior to removal to one of our secure centres. We can also help you define document management systems and strategies together with the creation of disaster recovery policies and plans. Whatever your document challenge – speak to Oasis.
What makes you different from a Self-Storage warehouse?
Oasis are a dedicated records management service provider. If you choose a self-storage centre you are likely to have to manage boxes and files yourself within a remote storage room. From a security perspective you have no control of content in other areas of the storage warehouse – you may be risking your documents without knowing it! When renting space you are potentially paying for fresh air – Oasis will only charge you for the individual boxes you have in store with us.
